We’re currently seeking an experienced Executive Assistant for a growing company located in Manhattan. The ideal candidate demonstrates strong leadership acumen, has a collaborative work style, is well-organized, and effectively multi-tasks and prioritizes in a rapidly changing business environment. The candidate will be proficient in a fast-paced, high-demand organization, and operates with impeccable professional finesse, accuracy, quality assurance, and drives for innovative results through complex problem-solving skills.


Responsibilities:

  • Daily advanced calendaring, meeting preparations, and assistance to the President/Owner by anticipating their day (meeting agendas, conference/video call meeting setups, etc.)
  • Effective business communications with other Senior Executives, other external C-level Executives, and Board Members
  • Complex arrangement and coordination of domestic and international travel schedules and trip logistics (business and personal)
  • Prepares presentation materials for the President/Owner
  • Attend necessary meetings, weekly/monthly and provide business recap reports for the team as needed
  • Track emails and alert to critical correspondence, and respond on executive’s behalf when needed
  • Organize/process monthly expense reports (business and personal)
  • Maintain files and records in relation to clients and projects
  • Organizing conference rooms, ordering breakfast/lunch, and coordinating company events
  • Researching, gathering data and developing materials for meetings
  • Using various software, including word processing, spreadsheets, databases, sales software, and presentation software
  • Reading and analyzing incoming memos, submissions, and distributing them as needed
  • Opening, sorting and distributing incoming faxes, emails, and other correspondence


Qualifications:

  • 4+ years of high-level, complex, and significant executive administration work experience for a C-level executive
  • Exceptional and proven organizational, time management, and scheduling skills
  • Strong attention to detail, with world-class follow-through
  • High responsiveness to changing demands
  • BA/BS degree or equivalent experience

·        Ability to work well with all levels of internal management and staff, outside clients and vendors

·        High level of discretionary judgment and confidentiality is necessary
